Want less tool overload and more impact? Here’s the getpress Heavy Rotation—the lean toolkit we use every day for startups, scale-ups, and SMEs. Streamlined, practical, GDPR-conscious, and quick to implement.

Before you get started, clarify your budget, team size, data privacy requirements (especially in the DACH region), integrations (Gmail/Outlook, Slack, Drive), and your primary use case: research, outreach/CRM, monitoring/reporting, or writing & quality.

1) Airtable – Operations hub for pitches & projects

  • Use case: Link media, contact, and topic databases; track pipeline stages (idea → pitch → response → coverage), and keep tabs on your portfolio/clippings.
  • How to set it up: Link tables for media outlets, contacts, topics, and pitches; create a “Today” view; automate follow-ups.
  • Why it matters: You can prioritize effectively, avoid duplicate pitches, and see where momentum is building.

Note: Airtable isn’t a full-fledged project management tool (e.g. for dependencies or time tracking)—you may need to complement it with Asana or Monday.

  • Use case: Email/call logging (Gmail/Outlook), a centralized history for each contact/media outlet, tags (beats/regions), and follow-ups as tasks.
  • How to set it up: Connect Gmail/Outlook (with logging enabled); set Company = media outlet, Contact = journalist, and Deal = pitch; create a pipeline: Idea → Sent → Reply → Interview → Coverage; add “Today” and “Open Responses” views; set up one follow-up workflow (after 5 days).
  • Why it matters: Keep relationships warm instead of starting from scratch—relationships only scale with a clean, consistent history.

4) Custom GPTs – Speed Boost for Pitches & Content (Human-in-the-Loop)

  • Use case: Draft pitches and press release components, generate idea lists, headlines, and leads—based on your guidelines and media criteria.
  • How to set it up: Use clear system prompts, define target media, refine drafts editorially, and fact-check.
  • Why it matters: You get to a solid starting point faster—quality comes from the final refinement.

5) Perplexity – Research with Reliable Sources

  • Use case: Trend checks, fact-checking, landscape scans, and answers with cited sources.
  • How to set it up: Ask precise questions, verify sources manually, and only use information that has been confirmed.
  • Why it matters: It quickly gives you reliable, source-backed insights and significantly cuts research time—ideal for well-founded pitches and AI overviews.

6) DeepL Write – Tone & Clarity at the Push of a Button

  • Use case: Final readability checks for press releases, guest articles, and pitches; fine-tune the tone (factual and precise / pointed and collegial).
  • How to set it up: Specify the target publication and tone, vary headlines and leads, and critically review the suggestions.
  • Why it matters: It brings readability and tone closer to editorial standards, reduces feedback rounds, keeps your voice consistent (DE/EN), and can therefore improve the success rate of press releases and guest contributions.
